Terms & Conditions

These Terms & Conditions apply to all work and services provided by North Cotswold Services LTD ("we", "us", "our") to the customer ("you", "your").

1. Quotations & Estimates

  • All quotations are valid for 30 days unless otherwise stated.
  • Estimates are based on the information provided at the time of quoting. If additional work is required due to unforeseen circumstances or hidden issues, a revised quote will be discussed and agreed upon before proceeding.
  • Prices include labour only unless otherwise specified. The cost of materials, parking, waste disposal, or specialist equipment will be identified separately where applicable.

2. Booking & Cancellations

  • Bookings are confirmed once a date and time have been agreed.
  • Cancellations made with less than 48 hours notice will incur a cancellation fee of up to 50% of the agreed labour cost.
  • If we arrive and are unable to carry out the work due to customer-related issues (e.g. no access, unavailable materials, or incorrect information), a reasonable call-out charge will apply.

3. Rates

  • A minimum charge of 2 hours applies to all work undertaken, charged at £30.00 (+VAT) per hour, per person required for the job.
  • For work lasting more than 6 hours and up to 9 hours, a day rate of £220.00 (+VAT), will apply, per person. 
  • For work exceeding 9 hours, any additional time will be charged at £25.00 (+VAT) per hour, per person.
  • For regular (weekly) work i.e. grass cutting, an arrangement can be made on a per job basis. (For example, £20 a lawn cut once a week)

4. Payment

  • Payment is due 7 days after receipt of an invoice or immediately upon completion of the work, unless otherwise agreed in writing.
  • We accept cash, bank transfer and other agreed payment methods.
  • Invoices not paid 7 days after the due date (unless otherwise agreed in writing) will incur interest and reasonable recovery costs in accordance with the Late Payment of Commercial Debts (Interest) Act 1998, where applicable.

5. Materials

  • Unless stated otherwise, materials are charged separately.
  • Where customers choose to supply their own materials, we cannot guarantee their quality, suitability, or compatibility and accept no responsibility for failures arising from customer-supplied products.
  • Additional journeys required to collect materials not included within the original quotation will be chargeable.
  • Where we have supplied materials, the materials will be covered by our suppliers t&c’s and guarantees

6. Customer Responsibilities

The customer agrees to:

  • Provide safe and reasonable access to the property and work area.
  • Ensure electricity, water and other necessary utilities are available where required.
  • Remove valuable, fragile or sensitive items from the work area where practical.
  • Inform us of any known hazards, hidden pipes, electrical cables, asbestos, structural issues or other relevant information before work begins.
  • Ensure pets and children are kept away from the work area for safety.

7. Additional Work

Any work requested that falls outside the original quotation will be discussed with the customer before being undertaken. Additional work will only proceed once the customer has agreed to any revised costs.

8. Workmanship Guarantee

We take pride in delivering quality workmanship and provide a 12-month guarantee on our labour unless otherwise stated.

This guarantee does not cover:

  • Normal wear and tear.
  • Damage caused by misuse, accidental damage or neglect.
  • Defects caused by customer-supplied materials.
  • Pre-existing defects or structural problems.
  • Movement, settlement or deterioration of the property or area beyond our control.
  • Damage caused by third parties after our work has been completed.

Any guarantee claim must be reported as soon as reasonably possible.

9. Liability

  • We hold appropriate Public Liability Insurance (Available upon request).
  • Our liability is limited to the value of the work carried out.
  • We are not liable for indirect, consequential or financial losses resulting from delays or circumstances beyond our reasonable control.
  • We will not be responsible for hidden defects or issues that could not reasonably have been identified before work commenced.

10. Delays

Whilst every effort will be made to complete work within agreed timescales, delays may occur due to weather, illness, supplier shortages, traffic, or other circumstances beyond our control. We will keep customers informed wherever possible.

11. Waste Removal

Unless specifically included within the quotation, the removal and disposal of waste materials, rubble, packaging or unwanted items is not included and may incur an additional charge.

12. Access & Parking

Where parking permits, parking charges, congestion charges or restricted access apply, these costs may be added to the final invoice unless otherwise agreed.

13. Health & Safety

We reserve the right to refuse or suspend work where:

  • The working environment is considered unsafe.
  • The requested work does not comply with current health and safety legislation.
  • There is a risk to ourselves, the customer or members of the public.

14. Photographs

We may take photographs of completed work for our records, insurance purposes and portfolio or marketing materials. No photographs identifying the customer or revealing personal information or the property's address will be published without the customer's permission.

15. Complaints

If you are dissatisfied with any aspect of our work, please notify us within 14 days of completion. We will inspect any genuine workmanship issues and we will do our best to resolve them promptly. If complains are raised after this time, we will make reasonable efforts to resolve them and may incur an additional charge.

16. Privacy & GDPR

We are committed to protecting your personal information and handling it in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

  • We only collect personal information necessary to provide our services, including your name, address, telephone number, email address and payment details.
  • Your information will only be used for providing quotations, carrying out work, invoicing, communicating with you and complying with legal, accounting and tax obligations.
  • We will never sell or rent your personal information to third parties for marketing purposes.
  • We may share your information with trusted suppliers, subcontractors, accountants, payment providers or legal authorities where required to provide our services or where required by law. These parties are required to keep your information secure.
  • Your personal information will only be retained for as long as necessary to meet our contractual and legal obligations.
  • Under UK GDPR you have the right to:
    • Request access to the personal data we hold about you.
    • Request correction of inaccurate information.
    • Request deletion of your data where applicable.
    • Object to or restrict certain processing.
    • Request a copy of your personal data.
  • If you have concerns about how your personal information is handled, please contact us first so we can try to resolve the matter. You also have the right to make a complaint to the Information Commissioner's Office (ICO).

17. Governing Law

These Terms & Conditions are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
